Drape Warehouse Rental Agreement

Thank you for choosing Drape Warehouse for your event rental needs. By proceeding with this rental agreement, you acknowledge and agree to the following terms and conditions:

1. Rental Period

The rental period begins on the agreed-upon delivery date and ends on the scheduled pickup date. Any extension of the rental period must be approved in writing by Drape Warehouse and may be subject to additional fees.

2. Deposit

A non-refundable deposit of 50% of the total rental amount is required to secure your reservation. This deposit will be applied toward your final invoice.

3. Cancellation Policy

3.1 Cancellations made more than seven (7) days prior to the event date will be subject to a 10% cancellation fee based on the total remaining rental balance.
3.2 Cancellations made within seven (7) days of the event date will be subject to a 35% cancellation fee based on the total remaining rental balance.
3.3 Cancellation made within twenty-four (24) hours of the scheduled delivery, installation, or event date: No refunds will be issued. The full rental amount will be due, as equipment, inventory, labor, scheduling, and logistics have already been reserved and committed for the event.
3.4 Cancellation fees are applied based on reserved inventory, labor, and scheduling commitments made at the time of booking.

4. Refund Policy

4.1 Refund eligibility is determined after cancellation is officially confirmed and reviewed by Drape Warehouse.
4.2 Any refundable balance, if applicable, will be calculated after applying all cancellation fees outlined in Section 3.
4.3 Deposits are non-refundable and will be applied toward any cancellation fees owed.
4.4 If a refund is approved, it will be issued only after full order reconciliation, including labor, logistics, and inventory allocation.
4.5 Approved refunds will be processed within 7–10 business days from final approval.

5. Changes & Venue Conditions

In the event of any changes on the day of installation, including but not limited to venue rules, restrictions, or weather conditions, Drape Warehouse reserves the right to adjust the setup as necessary. Safety is our top priority, and all on-site decisions will be made based on maintaining a safe environment for all parties.

5.1 If any portion of the agreed setup cannot be completed or must be modified due to venue rules, restrictions, or on-site conditions, a partial adjustment or credit of up to 50% of the affected section may be applied at Drape Warehouse’s discretion.

6. Installation Access & Logistics

The client is responsible for providing complete and accurate event details prior to installation, including:

6.1 A clear layout or floor plan of the event space

6.2 Notification if installation areas are located on upper levels

6.3 Information regarding access methods such as stairs, elevators, or restricted entry.

*Failure to disclose access limitations in advance may result in additional labor or service fees.

7. Parking Fees

If parking fees, permits, or loading fees are required for installation or breakdown, the client must notify Drape Warehouse in advance so these costs can be included in the estimate. Otherwise, any unexpected parking-related charges will be billed to the client.

8. Responsibility & Safety

The client is responsible for the safe use and supervision of all rented equipment once delivered. All items must be used in accordance with any safety guidelines provided by Drape Warehouse. Improper use or unsafe conditions may result in removal of equipment without refund.

9. Damage or Loss

The client assumes full responsibility for any damage or loss of rented equipment during the rental period. The client will be charged repair or replacement costs as necessary.

Replacement Costs (Estimated):

  • Drapes: $25–$40 each,
  • Bases: $50–$150 each,
  • Uprights: $50–$150 each,
  • Crossbars: $75–$125 each,
  • Lighting: $350–$500 each,
  • Accessories: $100–$200 each.

10. Liability

By signing or proceeding with this agreement, the client agrees that Drape Warehouse, its employees, agents, and representatives shall not be held liable for any injury, damage, loss, or claim arising from the use of rented equipment during the rental period.

11. Indemnification

The client agrees to indemnify and hold harmless Drape Warehouse, its employees, agents, and representatives from any claims, damages, liabilities, or legal fees arising out of or related to the rental and use of the equipment.

12. Inspection

The client agrees to inspect all rented items upon delivery and notify Drape Warehouse immediately of any issues or discrepancies. Failure to report issues at time of delivery constitutes acceptance of the equipment in good condition.

13. Right to Refuse Service

Drape Warehouse reserves the right to refuse service or terminate service if the client fails to comply with the terms of this agreement or if conditions are deemed unsafe or inappropriate for installation.
